Refund and cancellation policy

This policy applies to professional inventory count engagements booked with Datasyncsuite. It does not cover physical merchandise; we do not sell goods through this site.

Eligibility

Refunds relate to deposits and fees paid for engagements that are cancelled or reduced under the conditions below. Informational website use has no purchase price.

Timeframe to request

Contact info@datasyncsuite.digital or +852 2521 1188 as soon as you know a count date must change. Written email confirmation is required for deposit decisions.

Deposits

Full inventory count audit coordination requires a 30% deposit to reserve observer dates. Readiness reviews and cycle observations are typically invoiced in full after delivery unless a deposit was agreed in the engagement letter.

Cancellation by you

• More than 14 days before the first reserved count day — Deposit refunded minus a HK$2,000 administration fee, or applied to a new date within six months at your election.
• 8–14 days before — 50% of the deposit is refundable; the balance is retained for roster commitments.
• 7 days or fewer — Deposit is non-refundable. Work already started (planning calls, written count plans) remains payable on a time basis as set out in the letter.

Rescheduling

One reschedule with at least 14 days’ notice is usually accepted without forfeiting the deposit, subject to observer availability. Peak March–April and September windows may require a new deposit if the original roster cannot move.

No-shows and site access failures

If observers arrive as scheduled and cannot enter the site due to missing passes, absent floor captains, or an undeclared shutdown, the day-rate for deployed observers is chargeable and deposits are not refunded for that day.

Work already started

Planning fees for completed readiness reviews or issued count plans are non-refundable once the deliverable has been sent. Unused future observer days may be refunded or credited per the cancellation tiers above.

Partial refunds

If you reduce the number of sites after planning is complete, planning fees already earned are not refunded; unused observer days follow the cancellation schedule based on notice given.

Non-refundable items

• Administration fee on early cancellation (as above)
• Third-party access badge costs already incurred at your request
• Completed readiness notes and coordination memos already delivered

Refund method and processing time

Approved refunds are returned to the original payment method within 14 business days after written approval. Bank transfers may take longer depending on your bank.

Our cancellations

If we must cancel due to observer illness or typhoon conditions that make a safe count impossible, we will reschedule at no extra planning fee or refund the deposit in full at your choice.
